Document & Knowledge Operations
The right document. The right version. Without the search.
When the answer is scattered across emails and folders, every search interrupts someone. We organise documents, versions and approvals so the team finds what it needs and knows who decides.

Operational problems
Important files are dispersed across inboxes, folders and individual working practices.
Approvals are difficult to trace and current versions are unclear.
People repeat questions because operational knowledge is not easy to retrieve.
Manual classification and routing create backlogs and inconsistent outcomes.

What Fribu can deliver
Document and knowledge-flow assessment.
Naming, metadata, version and access structure.
Controlled intake, classification, routing and approval steps.
Search and retrieval patterns for approved information.
Retention, ownership and recovery guidance.

Illustrative possibilities
Illustrative example
A controlled invoice intake

Human control and safeguards
Access, testing, human approval and documentation remain explicit throughout the work.
- Permissions follow information sensitivity and role need.
- Classification and retrieval are tested against representative and ambiguous files.
- Approvals and exceptions remain attributable to authorised people.
- Version, retention, ownership and recovery rules are documented.

Questions
Does Fribu need access to every document?
No. Scope should be limited to the minimum sources required, with sensitive material excluded unless separately justified and authorised.
Can older folders be reorganised?
Yes, where provenance, retention and rollback can be protected. Destructive cleanup is not treated as a casual automation step.
Can knowledge stay portable?
The design should preserve exportable content, explicit ownership and provider-independent organisational knowledge wherever practical.
Start with the friction
Less searching. More shared knowledge.
The machine prepares. The person decides.
